Privacy Policy

This policy explains what information Rental Clerk LLC(“RentalClerk”, “we”) collects, how we use it and the choices you have. It covers our website and the RentalClerk software.
Information we collect
- Account information:your name, email address, company name and details, and your password (stored only in scrambled form; we can't see it).
- Business data you enter:inventory, quotes, invoices, schedules, signatures, photos and logos, and your customers' and crew's contact details. We hold this on your behalf; you decide what goes in it.
- Billing information: your plan and billing history. Card details are collected and stored by our payment provider, Stripe, not by us.
- Technical information: basic logs such as IP address, browser type and the pages requested, which our hosting providers record to keep the Service working and secure.
- When your customer opens a shared quote: we record that it was viewed, and their approval, name and signature if they respond.
How we use it
- to provide, maintain and support the Service, and to keep it secure;
- to bill your subscription;
- to send you messages about your account, such as receipts, security notices and important changes;
- to understand how the Service is used, so we can improve it.
We don't sell personal information, and we don't use your business data or your customers' information for advertising.
Cookies
We use cookies that are needed to keep you signed in and to remember small settings. We don't use advertising or cross-site tracking cookies.
Who we share it with
We share information only with service providers that help us run RentalClerk, under agreements to protect it:
- Supabase (database and sign-in), Vercel (website hosting), Stripe (payments) and our email delivery provider;
- professional advisers, or when the law requires it, such as a valid court order;
- a buyer or successor if our business is sold or merged, who must keep this policy's protections.
Our providers may store data in the United States.
How long we keep it
We keep your information while your account is active. After an account is closed, we keep it for 60 days so it can be restored on request, then delete it, except records we must keep by law, such as billing and tax records.
Security
Data is encrypted in transit, each company's data is kept separate by the database itself, and access within your team follows the roles your owner or admins set. No system is perfectly secure; if a breach affects your information, we'll tell you as the law requires.
Your choices and rights
- You can see and correct your account information in the app.
- You can ask us for a copy of your personal information, or ask us to delete it, by emailing us. Depending on where you live (for example, California or the European Union), you may have further rights; we'll honor them as the law requires and won't treat you differently for using them.
- If you're a customer of a business that uses RentalClerk, please contact that business first: they control their records, and we help them respond.
Children
RentalClerk is for businesses and isn't meant for anyone under 18. We don't knowingly collect children's information.
Changes
If we make significant changes to this policy, we'll tell account owners by email or in the app before they take effect.
